The problem
What a referee schedule has to get right
A referee schedule looks like a table of names, but it is a set of constraints. Every game needs the right number of officials. Nobody can be on two courts at once. Referees need rest between games, and they should not get the same teams or the same court all day. Experienced officials belong on the harder games.
In a spreadsheet you hold all of that in your head. It works for one small event. It breaks when you add courts, categories or a second day, and it breaks again when someone drops out on the morning of the tournament.
- Availability per time slot, not just per day
- Minimum rest between games
- Limits on consecutive games
- Experience matched to game difficulty
How RefManager does it
From setup to a filled schedule
You configure the tournament first: format (round-robin, knockout or hybrid), courts, game length and categories. Then you add referees, by Excel import or by hand, with their availability, experience level and category certifications.
Autofill then matches referees to games. It takes rest periods, experience levels and consecutive game limits into account. You can still assign any game by hand, and the schedule stays editable after autofill has run.
On the day
The schedule keeps working after it is published
Referees get their games by email and can subscribe to an iCal feed in any calendar app. On the day, the live board shows every court. No-shows, delays and substitutions are handled in one place, and everyone sees the update.
Afterwards
Evaluations and reports
Evaluators score referees with digital forms, and the results stay with the referee. On the larger plans you can export the data as CSV.
FAQ
Questions
Is RefManager only for 3x3?
RefManager 3x3 is built for 3x3 tournaments: many short games, several courts, one or two days. For 5x5 crews there is Pregame, a tool for the crew chief and two umpires to prepare the pre-game talk.
Can I import my existing referee list?
Yes. You can import referees from Excel or add them by hand, and set availability, experience level and certifications per referee.
Can I still change the schedule by hand?
Yes. Autofill does the first pass, and you can assign or swap any game manually afterwards.
What does it cost?
Plans run from €50 for a single event to €1,300 a year for leagues and regional series, excluding VAT and billed on invoice. Federation pricing is on request. See the pricing on the RefManager 3x3 page.
